Digital workplace

Run your team like the best remote companies do.

Many Caribbean businesses still run on WhatsApp groups, email chains and paper notebooks. We choose the right digital tools for your team, set them up properly and train your staff, so work stops getting lost.

Sound familiar?

Work lost in WhatsApp

Instructions, files and decisions buried in group chats that new staff can’t search.

Tasks tracked in heads

No one is sure who is doing what, what is late, or what was promised to a client.

Files on one laptop

Documents saved on personal devices and email attachments, with no single version anyone trusts.

What we set up

Team communication

Channels for each team, project and client in Slack, Microsoft Teams or Google Chat, so conversations are organised and searchable.

Projects and tasks

Boards and task lists in Asana, Trello, Notion or ClickUp, with owners, due dates and templates for your regular work.

Email, documents and storage

Company email, shared drives and calendars on Google Workspace or Microsoft 365, with the right access for each person.

Time tracking and remote teams

Hubstaff, Clockify or Toggl for hours, timesheets and payroll, set up with a clear written policy your staff agree to.

Scheduling and bookings

Online booking pages and shared calendars, so clients can book without back-and-forth messages.

Forms, e-signatures and automation

Online forms, electronic signatures and simple automations that remove repetitive admin.

Independent advice

We don’t sell software or take commissions. We recommend what fits your size and budget, including free plans when they are enough. Subscriptions are billed to your business directly, so you always own your accounts and data.

How it works

Four steps, from assessment to habit.

  1. Assessment

We look at how your team communicates, assigns work and stores files, then recommend the tools and set-up that fit.

  2. Set-up

Accounts, channels, boards, permissions and templates built for your business, and existing files moved across.

  3. Training

Hands-on sessions for staff and managers, plus a short written guide on how your business uses each tool.

  4. Monthly support

Optional ongoing help: new users, changes, questions and a check that the tools are being used.

Questions
Do we have to pay for software?

Not always. Several of these tools have free plans that suit small teams. We tell you upfront what, if anything, you will need to pay the provider.

Will my staff actually use it?

That is what the training and monthly check-ins are for. We set the tools up around how your team already works, and keep it simple.

Can we keep using WhatsApp?

Yes, for quick messages. We help you move the work that needs a record, such as tasks, files and client decisions, into tools built for it.

Is time tracking the same as monitoring staff?

It can be, so we set it up openly. Staff are told what is tracked and why, under a written policy. For legal questions about monitoring employees, speak to an attorney.

Can you move our existing files?

Yes. Shared drives are organised as part of set-up, and paper records can be scanned through our digitisation service.
